Hire a WHMCS Developer: Scope, Safety and Proof

What does a WHMCS developer do that other freelancers do not?
A WHMCS developer writes and repairs the code around WHMCS, such as modules, hooks, payment integrations and API connections, without breaking billing or the next upgrade. Four other roles are often mistaken for it.

A WHMCS developer sits across these. The work follows the billing chain from order to invoice, payment callback, renewal and suspension, and stays in folders WHMCS leaves alone during an upgrade. Buyers also search for a WHMCS expert or consultant. The title matters less than whether the person writes and ships code.
Do I need to hire a WHMCS developer, or just get a quick fix?
You need a developer when something must be built that WHMCS settings cannot do. You need only a quick fix when an installation that worked has stopped working.
- Quick fix: a blank page, a stopped cron, an invalid license message, emails not sending or a failing gateway callback. Start with the WHMCS quick fixes guide.
- Settings, no developer: email template wording, products and configurable options, promotions and automation days. Your admin can change these in the admin area.
- Developer job: provisioning on a platform WHMCS has no module for, a new payment method, a CRM sync, a changed order flow, a custom admin page, or a move with many custom modules.
If you cannot tell which one you have, describe the symptom on the call. If the answer is a setting you can change yourself, I will say so.
How do you keep WHMCS changes safe through upgrades?
I put custom code in places WHMCS does not overwrite, prove it on a staging copy first, and never edit core files. WHMCS describes these extension points at developers.whmcs.com. This table shows where each kind of job goes.

Staging means a restored copy of your files and database with test gateway keys, so a failed attempt does not touch live billing. Upgrade-safe is not upgrade-proof: a new WHMCS or PHP release can still deprecate a function a module calls, so I record the versions I tested on. Encoded (ionCube) files cannot be edited by anyone except their vendor. If a vendor module needs a change, I ask the vendor, wrap it with a hook, or rebuild the behavior from a spec.
How does hiring work, and what does it cost?
You pay a fixed quote for a defined scope, or $55 to $65 per hour when the size is unknown until someone looks. A free scoping call of about 30 minutes comes first, and a written quote follows within one business day. Two weeks of support follow delivery, and scheduled upgrades after that fall under WHMCS support and maintenance. The stage-by-stage process is on how I work.
What do you need from me before you can quote?
I need enough detail to see the size of the job. Rough notes are fine, and we cover the rest on the call. This list gets you the most accurate quote.
- The outcome in one sentence, for example "create a VPS automatically when an order is paid".
- Your WHMCS and PHP versions.
- Every addon module, hook and theme installed, who wrote it, and which of them are encoded.
- The payment gateways, registrars and server panels (cPanel/WHM or others) involved.
- Documentation and a sandbox for any outside API the job must call.
- A staging copy, or permission for me to build one from a backup.
- Your deadline, and how firm it is.
- Confirmation that your WHMCS license and paid modules are legitimate.

- Where will the code live, and will any core file be edited?
- Where will you build and test it, and what is the way back if live billing misbehaves?
- What does your quote assume about my WHMCS version, PHP version, gateways and installed modules?
- Who owns the code, and do I receive readable source or encoded files?
- What happens when something breaks after delivery, and for how long is it covered?

What will you not do?
I will not take on work that puts your billing or your license at risk. These limits apply to every job.
- I do not work on WHMCS installations or modules that are nulled, cracked or unlicensed, and I do not bypass the license check.
- I do not edit WHMCS core files.
- I do not edit another vendor's encoded files, because I cannot read them.
- I do not change a live system without a current backup, and anything that touches billing is proven on a staging copy first.
- I do not promise results beyond the agreed scope, such as sales or rankings, or a delivery date I have not checked against your system.

Frequently asked questions
How much does it cost to hire a WHMCS developer?
I charge $55 to $65 per hour, or a fixed quote for a defined scope. A price list would mislead, since jobs with similar names vary a lot in effort. After a free scoping call you get a written quote within one business day. When you compare quotes, compare what each one includes, not only the total.
How long does a WHMCS job take?
It depends on scope. A custom module typically takes 3 to 15 working days. A server migration typically takes 2 to 5 working days, longer with many custom modules. I give you a date only after I have seen your system and the spec is agreed, never before.
Should I ask for a fixed price or hourly work?
Ask for a fixed price when you can describe the finished result, such as a gateway integration or a provisioning module. Ask for hourly work when nobody can size the job until they look inside, such as tracking down an intermittent fault. I will tell you which I think fits and put the reason in the quote.
Can you fix something another freelancer or agency built?
Yes, if I can read the code. I audit it first for core edits, direct writes to WHMCS tables and functions removed in newer PHP versions, then tell you what to keep and what to rewrite. If the files are encoded and the author is unreachable, I cannot edit them, but I can often rebuild the behavior from a spec.
Do you sign an NDA?
Raise it on the scoping call, before any access is shared, and we will talk it through. Whatever is agreed, I ask for temporary access limited to what the job needs, I build in a staging copy first, and you can revoke my access the day the project ends.
Who owns the code you write for me?
Ownership of custom code is written into the quote before work starts, so there is no guessing later. WHMCS itself, open-source libraries and premium modules you license from others stay under their own licenses. You also receive written notes listing every file and setting I added or changed.
What happens after the job is delivered?
For two weeks I fix problems in the work I delivered. Send the steps to reproduce the issue and a screenshot. New features and unrelated faults are quoted separately. If you want scheduled upgrades and monitoring after that, ongoing support is available hourly or as a monthly arrangement.
