Custom Billing Systems

Custom billing software for service businesses, ISPs, SaaS and hosting companies and property managers that have outgrown spreadsheets or an off-the-shelf billing tool: recurring invoices, usage rating, net terms, tax, failed-payment recovery and migrations, built in Laravel with a Filament admin. Fixed prices from $399, with the code and data in your name.

Custom Billing Systems: 8 packages

When does custom billing software development pay off?

Only when the tool you have stops fitting the way you charge. If you sell hosting, domains and licenses, WHMCS already does most of the job for a modest monthly license, and a few custom modules usually cost far less than a rebuild; the WHMCS services page covers that route. If you run a SaaS with standard monthly and yearly plans, Stripe Billing or Chargebee handles it for a share of revenue, and writing your own would take years to earn back. I will say so when that is your situation.

A custom billing system starts to pay for itself when the real rules live in spreadsheets next to the tool: usage priced per contract, broadband subscribers who must be cut off on the network when they stop paying, business customers with purchase orders and credit limits, rent and meter-based charges, or a revenue-based platform fee that now costs more each year than a build. It also makes sense when billing is part of the product you sell, which is where SaaS development and billing meet.

How are card payments and customer records handled?

Every build uses Laravel with a Filament admin, and connects Stripe, PayPal, Square, Authorize.Net or GoCardless and ACH bank debit where your merchant account is approved. Card numbers never touch your server: customers type them into the gateway's hosted fields, and your system keeps only the gateway's token, the card brand, the last four digits and the expiry date. That keeps PCI scope with the gateway's hosted fields, although you still complete the gateway's short self-assessment form each year.

Payments, refunds and credit notes can sync to QuickBooks Online or Xero, so your bookkeeper stops retyping them. If the same customers also live in a sales pipeline, the billing records can feed a custom CRM instead of a second copy of every contact.

What is not included in a fixed price

  • Gateway, bank debit and SMS fees, and the approval of your merchant account, which is the provider's decision.
  • Tax API subscriptions such as Stripe Tax or Avalara, and any tax, legal or accounting advice; rates and rules come from your accountant.
  • Router, RADIUS and network configuration, which stays with your network team.
  • Hosting, your domain and email sending services, all in your name and paid to those providers.

How ordering a package works

  1. 1

    Choose a plan

Pick Starter, Business or Premium and pay once by card, PayPal or crypto. The price on the page is the price.

  2. 2

    Send your content

A project opens for your order. Send your text, logo, photos and any logins I need there.

  3. 3

    I build it

I build on a private staging link you can open on your phone, with updates as I go.

  4. 4

    Launch and handover

After your approval the site goes live on your domain, and every login is yours.

One-time price, no monthly fee from me

You pay for the build once. Your domain and hosting are registered in your name and renewed with your hosting provider, who bills you directly. I add nothing on top, and the site keeps running whether or not you hire me again.

What I do not build

Gambling and adult websites, and sites that sell content without the rights to it. Need something not listed? Ask for a custom quote.

Ordering from the US, Canada or Australia

Most of my clients are in the United States, Canada, the United Kingdom, Europe and Australia. Here is how an order works from those time zones.

Work happens while you sleep
I work from India. Your evening in New York, Toronto or Los Angeles, or your night in Sydney or Perth, is my working day, so each day's progress is waiting on your staging link when you start.
One price in US dollars
You pay the listed USD price by card, PayPal or crypto; your bank converts from CAD or AUD. My invoice from India carries no US sales tax, Canadian GST/HST or Australian GST. If your business has to self-assess tax on imported services, your accountant will tell you.
Payments your customers already use
Stripe, PayPal and Square work in all three countries. I connect the gateway you open in your own business name, so the money goes straight to you.
Hosting and domains in your country
Your site can sit in a US, Canadian or Australian data center, on a .com, .ca or .com.au domain registered in your name. Country domains have their own eligibility rules, which I check before you register.

Questions about custom billing systems

Who owns the code and the billing data?

You do. The code is pushed to a Git repository in your name, the database sits on a server or cloud account you pay for, and every gateway, tax and accounting account is opened in your company's name. There is no license fee per invoice or per customer, and no part of the system phones home to me.

Why Laravel and Filament rather than another stack?

Laravel has mature, well-documented libraries for queues, scheduled jobs, PDF generation and payment gateways, which are the moving parts of any billing system. Filament gives your staff a clean admin for clients, invoices and reports without months of custom screens. Both are widely used, so another Laravel developer can take over the code later if you choose.

Can you look after the system once it is live?

Yes, if you want that. Billing systems need care when a gateway changes its API, a tax rate moves or you launch a new product. I offer monthly support for fixes, updates and small changes through my developer retainer, or quoted once the build is done, and you can also hand the code to your own team with a written handover.
