TaxPilot Tax and Expense Reports for WHMCS
See the tax you collected in WHMCS, log the tax on your expenses, split B2B from B2C clients and read your net tax position in one place.
What does TaxPilot do?
It turns the billing data already in WHMCS into a tax dashboard. TaxPilot reads your invoices, invoice items, clients and currencies and shows the output tax you collected for a month, a quarter or your financial year. You record your business expenses in the same place, with the tax paid on each, so the dashboard can show tax collected minus tax on expenses: your net tax payable for the period.
It also tells you which clients are business customers. A client counts as B2B when they have a tax ID in the native WHMCS tax ID field, in a client custom field you name (VAT Number, GSTIN and similar), or, if you choose, when they are marked tax exempt. Everyone else is B2C. The clients page shows where each ID was found.
What is included?
| Screen | What it shows |
|---|---|
| Dashboard | Tax collected, tax on expenses, net tax payable, sales and B2B and B2C counts |
| Clients | B2B or B2C per client, filterable by product held and country |
| Tax transactions | Every tax-bearing invoice, filterable by period, client type and country |
| Expenses | Vendor, category, net amount, tax rate and amount, reference and a tax invoice on file flag |
| Reports | Output tax by rate, currency, client type, product type, country and state, and input tax by expense category |
| Export | CSV of transactions and expenses, safe to open in Excel |
How does it handle currencies and timing?
You choose the reporting basis: paid, where tax counts on the day an invoice is paid, or issued, where it counts on the invoice date. You also set the month your financial year starts, which drives the year and quarter presets. Each invoice's tax is converted to one base currency using the exchange rates stored in WHMCS, so the totals add up across currencies, while each invoice still shows its own currency.
An optional setting adds a declaration, such as an export note, to the notes of invoices for clients outside your home country, so it appears on the invoice and the PDF. This is the only time TaxPilot writes to a WHMCS table, and it only appends text.
Who should use it?
It suits hosting companies, agencies and freelancers who bill in WHMCS and file VAT, GST or sales tax returns, and want the figures ready before they open a spreadsheet or meet their accountant.
What do you need, and what is outside its scope?
Requirements: WHMCS 8.0 to 9.x and PHP 7.4 or newer. You pick which admin roles may open it.
Limits: TaxPilot is a reporting aid, not a filing service or tax advice; check the figures before you submit a return. Partial refunds are not netted from output tax automatically, so review refunded invoices when you reconcile. Deactivating it keeps your expenses and settings.
It costs $49 once for a lifetime license with twelve months of updates and support, an instant download and license key, and a seven-day refund window.

Frequently asked questions
How does TaxPilot decide if a client is B2B?

It checks the native WHMCS tax ID field, then any client custom field whose name is on your list, such as VAT Number or GSTIN. If you turn on the option, tax-exempt clients count as B2B too. A client with none of these is B2C. The clients page shows which source matched.

Does it change my invoices?

No. It only reads WHMCS billing tables and keeps expenses and settings in its own tables. The one exception is optional: if you enable the export note, it appends that text to the notes of invoices for clients outside your home country. It never touches amounts, tax or status.

Can it file my VAT or GST return?

No. It organizes the numbers you need for a return, with breakdowns by rate, country and client type and a CSV export for your accountant. Filing stays with you or your accountant, and you should check the figures first.
