QuickBooks Online Sync Module for WHMCS
Keeps WHMCS invoices, payments and customers matched with QuickBooks Online, either as they happen or on a schedule.
What does the QuickBooks sync do?
It moves invoices and payments between WHMCS and QuickBooks Online in both directions, so the same transaction is not typed twice. QuickBooks Online is Intuit's cloud accounting software, and many hosting companies keep their books there while billing customers from WHMCS. Without a connector, someone copies each invoice across by hand.
When a WHMCS customer does not exist in QuickBooks yet, the module creates them automatically before posting their invoice.
How are taxes and products matched between the two systems?
Through mapping that you set once. Tax rates in WHMCS are mapped to the matching tax settings in QuickBooks, and your WHMCS products and services are mapped to QuickBooks items, so each line lands in the right place in your accounts.
- Invoices and payments synced in both directions
- QuickBooks customers created automatically
- Choice of real-time or scheduled sync
- Tax mapping and configuration
- Mapping of products and services to QuickBooks items
- Detailed sync logs with error handling
What happens when a record fails to sync?
It shows up in the sync log instead of going missing quietly. Every run is recorded, errors are handled and noted, and you can see which record did not go through so it can be fixed. Real-time sync keeps your financial reports current; scheduled sync suits teams that prefer to review a batch at set times.
What do you need to connect it?
Requirements: WHMCS 8.13 (tested), PHP 8.1 or newer, and a QuickBooks Online company with a user who can authorize an app connection.
Limits: the module is built for QuickBooks Online. If you run a desktop edition of QuickBooks, ask me before buying. It also does not decide your tax treatment; the tax mapping should match what you or your accountant have set up in QuickBooks.
Price: $99 one time for a lifetime license, with twelve months of updates and support, an instant download and a seven-day refund window.

Frequently asked questions
Does the sync work in both directions?

Yes. Invoices and payments are synchronized both ways between WHMCS and QuickBooks Online. If an invoice belongs to a customer who is not in QuickBooks yet, the module creates that customer first. You can run the sync in real time as transactions happen, or on a schedule if you prefer batches.

How do I keep tax amounts correct in QuickBooks?

The module includes tax mapping, where you link each WHMCS tax setting to the right one in QuickBooks. Products and services are mapped to QuickBooks items in the same way. Set these up with whoever manages your books, since the mapping should follow the tax treatment your accountant uses.

Is the $99 a subscription?

No. It is a one-time payment for a lifetime license, and the first year of updates and support is included. The download and license key are delivered immediately, and there is a seven-day refund window. Renewing for further updates later is optional; the module keeps working without it.
