About this package

This package moves your billing data from one system to another: from WHMCS, Blesta, Chargebee, Zoho Billing or spreadsheets into a custom billing system, or from a custom system into another platform, with a mapping you approve, a test import, a parallel run and a planned cutover. Moving WHMCS to a new server or importing straight into WHMCS is a different job, covered by the WHMCS migration service.

Mapping before moving

Every billing platform models the same things differently. A Chargebee "item price" is a WHMCS "product with a billing cycle"; a Zoho "subscription add-on" may become a separate line. I export the source data, write a mapping sheet that shows where each field lands and what happens to the odd cases, and you sign it off before anything is imported.

  • Starter moves clients, contacts, products, open invoices and balances.
  • Business adds active subscriptions with their next due dates, full invoice and payment history, and relinked gateway customer records.
  • Premium merges up to three sources and carries credit balances, promotions, custom fields and service records.

Saved cards and the parallel run

If you keep the same Stripe or Authorize.Net account, customers keep their saved cards, because only the customer IDs move. Changing gateway means a card data transfer handled between the two gateways under their own security process; I never see or handle card numbers. Where a transfer is not possible, customers get an email to re-add a card.

On Business and Premium both systems run side by side for one or two billing cycles. I compare the invoices each produces, explain every difference and fix the mapping before the old system stops charging anyone.

What is left with you

Licenses for the source or target platform, and fees a gateway charges for a card transfer, are paid to those vendors. You choose the cutover date.

Questions about this package

Will customers have to re-enter their cards?

Not if you keep the same gateway account; the new system reuses the gateway's customer and payment method IDs. Moving to a different gateway needs a card data transfer between the two providers, which they handle and which can take a few weeks. If a transfer is not available, customers get a secure link to add a card.

Can I move from a custom system back to an off-the-shelf platform?

Yes. The reverse move uses the same steps: export, mapping sheet, test import and parallel run. It suits a business whose needs have become standard again, where a platform like Chargebee or Blesta now costs less than maintaining custom code.

What does a parallel run actually show me?

Both systems generate the same billing cycle's invoices, but only the old one charges customers. I compare every invoice by customer, amount, tax and due date and send you a list of differences with the cause of each. You switch over once the list is empty or every remaining item is explained.
