About this package

This package builds a complete recurring billing system for a service, hosting, agency or subscription business that has outgrown spreadsheets or a billing tool it keeps working around: clients, products and price plans, recurring and one-off invoices, online payments, reminder emails, a client portal and a Filament admin for your staff. It is broader than a simple invoicing portal, because it runs the whole billing cycle on its own, and different from a Stripe Billing setup, because the billing rules live in your system and the gateway only takes the money.

What runs every night

A scheduled job finds every service due for renewal, raises the invoice with the right price, discounts and tax, emails it, and attempts the charge on the saved payment method. Paid invoices mark the service as active until the next due date; unpaid ones move into your reminder sequence. Invoice numbers are sequential and never reused, and a sent invoice is corrected with a credit note rather than edited.

  • Cards are entered in the gateway's hosted fields, so your database holds tokens and the last four digits, never full card numbers.
  • Business adds proration, so an upgrade halfway through a month charges only the difference.
  • Premium sends webhooks or API calls when a service is paid, suspended or cancelled, so your control panel or app can act on it.

Custom build or WHMCS?

If you sell standard hosting, domains and licenses, WHMCS plus a few modules is usually cheaper, and I will tell you that before you order. A custom system makes sense when your products, contracts or approval steps do not fit WHMCS without heavy patching, or when you want no per-client license at all. More on that trade-off is on the WHMCS services page.

Not part of this build

Gateway and merchant account fees, hosting and your domain are paid to those providers in your name. Tax rates come from your accountant; I set them up, I do not decide them.

I have built websites, WHMCS modules and web apps for clients since before AI coding tools existed. Today I build with AI-assisted tools and review every change myself, which is why fixed prices here are lower than an agency's for the same scope. I work while the US, Canada and Australia sleep, so each morning there is progress on your staging link.

Questions about this package

Will my system store customers' card numbers?

No. Customers enter card details in the gateway's own hosted fields, and the gateway returns a token that your system saves with the card brand, last four digits and expiry. Renewals charge that token. Because card data never reaches your server, PCI scope stays with the gateway, and you only complete its short annual questionnaire.

Can I add new products and change prices myself?

Yes. Products, plans, billing cycles and prices are edited in the Filament admin. A new price applies to new orders straight away; existing customers keep their current price until you choose to move them, which the admin does in bulk with an optional notice email.

Can it keep my existing invoice numbers and history?

Yes. The numbering can continue from your last invoice in the same format, and past invoices can be imported as read-only records so clients see their full history in the portal. Importing more than a handful of records is covered by the import extra, since each source needs mapping and checking.

How ordering a package works

  1. 1

    Choose a plan

Pick Starter, Business or Premium and pay once by card, PayPal or crypto. The price on the page is the price.

  2. 2

    Send your content

A project opens for your order. Send your text, logo, photos and any logins I need there.

  3. 3

    I build it

I build on a private staging link you can open on your phone, with updates as I go.

  4. 4

    Launch and handover

After your approval the site goes live on your domain, and every login is yours.

One-time price, no monthly fee from me

You pay for the build once. Your domain and hosting are registered in your name and renewed with your hosting provider, who bills you directly. I add nothing on top, and the site keeps running whether or not you hire me again.

What I do not build

Gambling and adult websites, and sites that sell content without the rights to it. Need something not listed? Ask for a custom quote.
